GDPR Recruitment Privacy Notice

This notice explains what personal data (information) we will hold about you, how we collect it, and how we will use and may share information about you during the application process. We are required to notify you of this information, under data protection legislation. Please ensure that you read this notice (sometimes referred to as a ‘privacy notice’) and any other similar notice we may provide to you from time to time when we collect or process personal information about you.

Who collects the information?

Plastribution Limited (“PLB”) registered at Clinitron House, Ashby Park, Ashby-de-la-Zouch, LE65 1JG under number 01461218, inclusive of its trading divisions:

  • Plastribution;
  • Plasfilms;
  • Plasfoils;
  • Plascoatings;
  • Aplas;
  • Elastribution;

is a data controller, as defined in the Data Protection Act 2018, and gathers and uses certain information about you.

Data Protection Principles

PLB will comply with the data protection principles when gathering and using personal information, as set out in Article 5 of Retained Regulation (EU) 2016/679, UK GDPR.

What Information?

We may collect the following information up to and including the shortlisting stage of the recruitment process:

  • Your name and contact details, including but not limited to:
    • Address;
    • Home and mobile number;
    • Email address.
  • Details of your qualifications, experience, employment history and interests
  • Referee details
  • Thomas International assessment data.

We may collect the following information after the shortlisting stage, and before making a final decision to recruit:

  • Academic and employment history;
  • Information relating to conduct, performance, grievance, disciplinary and time and attendance from referees provided from previous employers or academic institutions;
  • Criminal record information;
  • Nationality and immigration status from related documentation, such as:
    • Passport;
    • Immigration documentation.
  • Driving licence information.

How we collect the information

We collect this information from you, the referees as provided by yourself and other relevant external stakeholders, such as, academic institutions and the Home Office.

Why we collect the information and how we use it

We will typically collect and use this information for the following purposes:

  • To take steps to enter Contract of Employment;
  • Because it is necessary for carrying our obligations or exercising rights in employment law;
  • For the purposes of our legitimate interests or those of a relevant third party, but only if these are not overridden by your interests, rights, or freedoms;
  • To establish, exercise and/or defend any legal claims that may be brought by or against us in connection with your recruitment.

PLB seeks to ensure that our information collection and processing is always proportionate. We will notify you of any changes to information we collect or to the purposes for which we collect and process it.

How we may share the information

We may also need to share some of the above categories of personal information with other parties, such as professional advisors. Anonymisation of data will be utilised in the first instance, however, where this is not possible the data will be bound by confidentiality obligations.

How long we will keep your information

We will keep your information that we obtain throughout the recruitment process for no longer that is necessary for the purpose for which it was processed. How long the information is kept is dependent on the whether your application is successful, and you become employed by us.

We will keep recruitment information for no longer than is reasonable, considering limitation periods for potential claims; after such period – information will be securely destroyed. If a clear business reason for keeping your data for longer than the recruitment period and subsequent retention periods, the data will be pseudonymised.

If the application is successful, we will keep only the recruitment information that is necessary in relation to your employment.

Your right to object to us processing your information

Where our processing of your information is based solely on our legitimate interests, you have the right to object to that processing if you give us specific reasons why you are objecting. If you object, PLB can no longer process your information unless we can demonstrate legitimate grounds for the processing, which subsequently override your interests, rights and freedoms, or the processing is for the establishment, exercise, or defence of legal claims.

Your rights to correct and access your information and to ask for it to be erased

Please contact PLB’s Compliance Officer who can be contacted on 01530 432108 or at gdpr@www.plb.ltd if you would like to correct or request information that we hold relating to you or have any questions about this notice.  You also have the right to request some information be erased in some circumstances – the Compliance Officer can be contacted as above for more information.

Keeping your information secure

We have appropriate security measures in place to prevent personal information from being accidently lost or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

PLB have regular procedures in place to deal with any suspected security breach. In the event of a breach that affects your personal information – we will notify you and applicable regulators where we are legally obliged to do so.
